This privacy policy explains how Leap Forward handles your personal data when you use the AI Maturity Scan at ai-maturity-scan.leapforward.be.

Your personal data is processed by Leap Forward Group, Sint Salvatorstraat 18/303, 9000 Gent (Belgium), registered in the Crossroads Bank of Enterprises under number BE0678735823, in accordance with Belgian data protection law and the EU General Data Protection Regulation (Regulation (EU) 2016/679). By using this scan, you consent to the processing described below.

What we collect

When you take the scan, we collect:

  • Your email address (required — we need it to send you the report).
  • Your answers to the 20 organisation questions and 3 personal questions, together with the role you selected and your chosen language.
  • Your derived result: organisation archetype and personal AI type.
  • Whether you opted in to occasional insights from us.
  • Standard server and log information (IP address, browser, pages visited, timestamps) and analytics data collected via cookies. See the Cookies section below.

How we obtain it

We collect this data directly from you: through the scan form and your interaction with the site.

How we use your data

We use your personal data to:

  • Send you your personalised results by email.
  • Notify our team internally that a scan was completed, so we can follow up if that's useful for you.
  • Keep a record of your submission (email, answers, result) in our own systems, so a follow-up conversation can be properly informed.
  • Add you as a contact of Leap Forward in our CRM.
  • Only if you ticked the box: send you occasional insights about AI in customer experience. You can unsubscribe at any time.
  • Improve the scan and our services in aggregate (for example: which answers people give most often).

Who we share it with

We don't sell your data. To run the scan we rely on a small number of processors, each bound by a data processing agreement and by the GDPR:

  • Postmark — to deliver your results email and our internal notification.
  • HubSpot — as our CRM, to store you as a contact of Leap Forward.
  • Notion — to store your submission in our internal database.
  • Slack — to send an internal notification to our team.
  • Upsun (Platform.sh) — as the hosting provider for this site.
  • Google (Tag Manager / Analytics) — for usage statistics.
  • For legal reasons, we may also share data to comply with applicable law or a valid request from a supervisory body.

How long we keep it

We keep your data only as long as we need it.

  • Scan submissions (email, answers, result) are kept in our records for as long as you could reasonably be a prospect or client of Leap Forward, unless you ask us to delete them sooner.
  • If you opted in to occasional insights, we keep you on that list until you unsubscribe.
  • Server logs and analytics data are retained for a shorter period, following the standard retention of the providers listed above.

Security

Your data is stored on secure servers. We take reasonable technical and organisational measures to prevent loss, misuse or unauthorised alteration of your personal data.

Your rights

You can ask us, free of charge, to:

  • See which personal data we hold about you and receive a copy.
  • Correct any incorrect or incomplete data.
  • Delete your data.
  • Object to specific processing, or withdraw consent you previously gave.
  • Restrict processing, or receive your data in a portable format.

Cookies

We use Google Tag Manager to load a small number of analytics cookies (Google Analytics). These help us understand in aggregate how people use the scan — for example, how many people complete it. We don't use advertising cookies.
